Wedding Guest Shuttle Buses in Washington DC, Maryland and Virginia: How to Plan One

A guest shuttle is one of the most appreciated things you can add to a wedding in the DC area. Guests do not have to navigate Northern Virginia wine country roads at night, nobody argues over parking at a downtown venue, and the whole group arrives together and on time. Here is how to plan one, what it costs, and the mistakes to avoid.

Quick numbers: a 56-passenger coach starts at $195/hr with a 5-hour minimum (about $975); a 28-passenger executive minibus starts at $165/hr with a 4-hour minimum. Most weddings book 6–10 hours so the same bus can cover arrival and the end-of-night return. Get a written quote with your date and headcount.

Step 1: Count the Guests Who Will Actually Ride

You do not need a seat for every invitee. Count the guests staying at your hotel block plus anyone you know will not drive. For most DC weddings of 120–150 guests, 40–70 people use the shuttle. If you are unsure, plan for roughly half of out-of-town guests.

Step 2: Pick the Right Bus Size

RidersBest vehicleWhy it works
Up to 14Mercedes Sprinter vanPerfect for the wedding party or a small VIP group; easy to park at any venue
15–2823- or 28-passenger executive minibusLeather seating, fits tight streets in Georgetown, Old Town and Annapolis
29–3636-passenger minibusBest value per seat for mid-size guest lists
37–5656-passenger charter busOne coach keeps everyone together; restroom on board for longer rides
57+Two or more vehiclesStaggered loops so no one waits; one reservation, one coordinator

Step 3: Decide How Many Hours to Book

Most couples book one of three patterns:

  • Arrival only (4–5 hours). One or two trips from the hotel to the ceremony and reception. Guests arrange their own way home.
  • Arrival and return (6–8 hours). The bus brings guests to the venue, waits or returns for the send-off, and runs one or two trips back to the hotel at the end of the night. This is the most common choice.
  • Full-day service (10+ hours). Hotel to ceremony, ceremony to reception at a different venue, and staggered return loops. Common for winery, farm and waterfront venues in Loudoun County, Middleburg, Annapolis and the Eastern Shore.

Step 4: Build the Timeline

A sample schedule for a 5:00 p.m. ceremony with a downtown DC hotel block and a Northern Virginia venue 45 minutes away:

TimeMovement
3:30 p.m.Bus arrives at hotel; coordinator and signage in the lobby
3:45 p.m.Depart hotel (announce 3:45, leave at 3:50 at the latest)
4:35 p.m.Arrive at venue; driver parks nearby and stays reachable
10:30 p.m.First return trip for early departures and older guests
11:30 p.m.Final return trip after the send-off

Two return trips cost one extra hour and solve the problem of guests who want to leave at different times.

What a Wedding Shuttle Costs in the DC Area

At RDV’s 2026 starting rates, a 56-passenger coach for 8 hours is about $1,560 and for 10 hours about $1,950. A 28-passenger executive minibus for 6 hours is about $990. Gratuity, tolls and any venue parking fees are listed separately in the written quote. For a full coach of 56 guests over 10 hours, that is roughly $35 per guest, usually less than the per-car parking and rideshare surge pricing you would be asking them to cover. Full rates are in our charter bus cost guide.

Five Mistakes to Avoid

  1. Booking the minimum and hoping. Add 30 minutes of buffer on each leg; weddings run late.
  2. No lobby coordinator. Assign someone (not the couple) to count heads and give the driver the go.
  3. Forgetting the venue’s bus rules. Some historic properties and wineries have a specific motorcoach drop-off point. Tell us the venue and we will plan for it.
  4. One return trip only. Half your guests want to leave at 10, half at midnight.
  5. Booking late. Saturdays from April through June and September through October sell out. Book 6–8 weeks ahead for peak dates.
